Alfaqueque sells in its bookshop, at book fairs and at book launches, and it ran everything on spreadsheets, cash counted by hand and book records copied one by one. I designed and built a tool made to measure that brings together the everyday work: selling, keeping track of stock, preparing shipments, handling orders and knowing what works and what doesn’t. It’s used on mobile and on desktop, at the counter and in the storeroom.
dilve
DILVE is the database where Spanish publishers publish the official record of their books, and the POS talks to it directly. Scan a book you’ve never had and its record arrives on its own: title, author, publisher and official price. With one button it checks the whole catalogue, over 400 titles, and shows you what has changed, covers and subjects included: “Cuatro elementos goes from €16 to €17.50, shall I change it?”. Nothing changes until you say yes, and it never touches the stock, the costs or the notes.
the counter
At the counter or at a fair you sell standing up, with people waiting. The POS works the same on a phone as on a computer. Scan the book with the barcode gun or the phone camera, it goes straight onto the receipt and you take cash, card or Bizum. Things without a barcode, like a pencil or a book cover, go on a button.
And you don’t have to sell alone: several people can log in, each with their own user, sell at the same time from several phones and always know who made each sale.
everyone sees their own
Each person on the team logs in with their PIN and the POS adapts to what they do. Admin sees everything: reports, margins, costs, catalogue, delivery notes and shipments. Whoever is selling gets the till, payments and orders, and can look at their fair’s report, but without profit or costs, not even when exporting it. And whoever is counting stock only sees the count: count and confirm, no menus, no decisions. Sensitive information stays protected and each screen is simpler for the person using it.
the reports
Every sale, return and cash movement is recorded, and you can look at any period you like, across all the fairs or just one. The most useful part is turnover: for books from other publishers, how many came in and how many sold, subject by subject, thanks to DILVE’s subject codes. If the poetry sells out, you restock; if the essays come back almost untouched, you order fewer next time. The order for the next fair is made with data, not by eye.
And everything else, on the receipt.
